RFI/RFP Writing

We propose a simple Three-Stage Approach.
Stage 1: Needs Assessment & Business Process Analysis. This phase is critical for setting the project's direction, understanding the business objectives, conducting current state analysis, identifying potential challenges, and ensuring alignment with stakeholder expectations. Our business analysts consult with stakeholders to understand business needs, workflows, and objectives. Then utilize adaptable document drafts tailored to the specific needs of different industries, ensuring efficient and accurate requirement gathering and processing. At this stage, our experts may also advise solution options and recommendations. Stage 2: Request for Information (RFI) Document & Vendor Shortlisting We develop a comprehensive RFI document that outlines the client's needs and gathers detailed information from potential vendors. Our Functional Consultants and Experts evaluate RFI responses based on predefined criteria, shortlisting vendors meeting customer requirements. Stage 3: Request for Proposal (RFP) & Vendor Selection Our team creates a detailed RFP document, incorporating feedback from the RFI stage. We manage the entire process, from coordinating vendor communications to scheduling presentations and site visits. Once RFPs are received, our experts assess vendor capabilities, proposed solutions, cost structures, and implementation plans. Upon final vendor selection, we assist in contract negotiations, focusing on service levels, deliverables, timelines, and pricing. A critical component is the Statement of Work (SOW) Agreement, detailing the scope of work and project implementation plan. We collaborate with the selected vendor to ensure project milestones, timelines, resource requirements, and risk management strategies meet client expectations. We can support you through the entire process or assist with specific stages or requests.
Design & Planning
The service is called the Discovery Phase. This is the foundational stage of a business solution project, dedicated to understanding the project's scope, objectives, and feasibility. The outlined process helps to develop a shared understanding of Jobs-to-be-Done, considerably speeds up time-to-market, and lowers TCO, especially in the case of tight timeframes. The Discovery Phase helps us determine the optimal approach to implementation and mitigate any potential risks early on.
We schedule a series of workshops with the Client’s team to cover key activities planned for the Discovery Phase, structure: Knowledge sharing; Solution scoping; Solution estimation. Main Deliverables: Defined & prioritized the scope of the solution; Non-functional requirements/quality attributes of the solution; Project timeline adjustment for solution implementation; Identified risks, assumptions, and limitations; Envisioned budget for the solution implementation.
